Appointment Booking, Cancellation & No Show Policy

We strive to provide excellent medical care to you and to all of our patients. Consistent with this, we have developed appointment no-shows, late arrivals and cancellations policies that allow us to better schedule appointments for all patients. We sincerely appreciate your assistance and cooperation as this allows for a smooth office flow and more efficiently uses your time.

Once you have booked your appointment, as a courtesy, we will attempt to provide an appointment reminder (via call or sms or both) at least one day before to confirm your appointment. If your appointment falls on a day following a holiday, the reminder (via call or sms or both) will be made on the preceding business day that we are open.

In the event we are unsuccessful in contacting you for the reminder and/or your appointment is not confirmed 12 hours before the scheduled time, Zia Medical Center reserves the right to cancel the appointment and assign it to another patient.

To ensure that each patient is given the proper amount of time allotted for their visit and to enable us to provide the highest quality care to everyone, it is very important for each scheduled patient to attend their visit on time. For this reason, you are requested to arrive at least 15 minutes earlier than the scheduled appointment time.

Please be aware that late arrival may result in a shortened or a canceled appointment.

When you book your appointment, you hold a space on our calendar that is no longer available to our other patients. In order to be respectful of your fellow patients, please call Zia Medical Center as soon as you know you will not be able to make your appointment.

If cancellation is necessary, we request you to  call as soon as possible at least one day in advance. Appointments are in high demand, and your advanced notice will allow another patient access to that appointment time.

You can reschedule or cancel appointments by reaching us via the following channels during our business hours

Whilst every attempt will be made, we cannot guarantee the same specialist, physician, therapist or technician for the rescheduled appointment.

If less than a 12-hour notice is given for appointment cancellation, the cancellation will be documented as a “No-Show/Missed” appointment.

If you do not present to the clinic for your appointment at the designated time, this will be documented as a “No-Show/Missed” appointment.

After the first “No-Show/Missed” appointment, you may receive a phone call or other notification reminding you of our “No-Show/Missed Appointment” policy. Our staff will help you reschedule this appointment if needed.

Please note that a “No-Show/Missed/Late cancelled” appointment may be subject to a “No-Show” fee, which may be equal to the full cost of the original appointment and will be payable in cash to Zia Medical Center (including for appointments booked under Insurance)

Recurring “No-Show/Missed” appointments may not be rescheduled for any future appointments.

As a patient of Zia Medical Center, please note that it is your responsibility to plan appointments accordingly and to notify the clinic promptly if you have difficulty keeping your scheduled appointment(s).

Patients who schedule clinic appointments and fail to keep them have a negative impact on their own and other patient’s care, productivity and the organization’s financials. The policy is designed to minimize disruptions in the scheduling process, in delivery of care, and ultimately in ensuring that all patients have access to the care they need. .
